Job Overview:
The Associate Subcontracts Specialist is responsible for utilizing existing Subcontracts procedures to solve routine or standard problems. They receive instruction, guidance, and direction from others within the team, and they will leverage their conceptual knowledge of theories, practices, and procedures related to Subcontracts and Supply chain.
Responsibilities
Key Tasks and Responsibilities:
- Assist Project Subcontract Manager or Senior team member to manage the Subcontract activities in the day-to-day subcontract activities in the project and functionally to the Area Subcontract Manager or his designee
- Assist in preparation of tenders, and subcontract administration to perform efficiently, effectively, and in accordance with global subcontract processes, timelines, and ad hoc need for the Project
- Provide input for Project Subcontract Plan, and responsible to maintain contract documentation, and management
- Perform administration on assigned subcontracts from end to end (pre-award to post-award)
- Coordinate the subcontracts bid proposal process, collate subcontracts document, follow up, and ad hoc requirements
- Obtain appropriate approvals for various subcontracts documents
- Coordinate meetings like clarifications, kick-off, etc.
- Raise commitments and support invoice processing in ERP or Materials Management system
- Process subcontract documentation including the gathering of approvals and traceability as well as close out all packages
- Follow up on subcontract requirements for the assigned packages such as performance guarantees, insurances, and warranties are being submitted according to the subcontract on time
- Dispute claims from subcontractors in consultation with Project Subcontracts Manager
- Support the subcontractor back charge process
- Deliver reports required by Project and Function on time for the Subcontracts Manager
- Provide support to Function on a need basis
- Escalate disputes and issues as required
Essential Qualifications and Education:
- 0-3 years of relevant experience with a bachelor’s degree (or equivalent) in Engineering, Supply Chain Management (or a relevant discipline)
- 4 years minimum relevant experience in absence of the bachelor’s degree.
- Commercial and contractual management experience are essential
- Experience in quantity surveying or Subcontract Management would be preferred
- Attention to detail and multi-tasking skills are essential
