Regional Administrative Assistant

Chemonics International Inc, a U.S. based international development consulting firm, seeks a Regional Administrative Assistant for the USAID Lishe (Nutrition) project. The five-year project aims to strengthen health and food market systems that promote the adoption of optimal nutrition-related behaviors across a range of stakeholders in targeted regions in Tanzania. We are seeking individuals who have a passion for making a difference in the lives of people around the world. This long-term position will be based in Kigoma.

The Regional Administrative Assistant is responsible for ensuring the smooth functionality and support supervision of the project’s regional office, assisting the Senior Finance and Operations Director in the Dar es Salaam, and helping to ensure compliance with USAID regulations. Key areas include transaction entry in accounting software, facilities upkeep, procurement support, security, development and monitoring of SLAs, human resource duties as required, and assisting the technical team members with various administrative tasks. The Regional Administrative Assistant will be supervised by the Office Manager in the Dar es Salaam.

RESPONSIBILITIES

  • Assist the Dar es Salaam-based Finance and Operations Unit in all aspects of project administration, for tasks undertaken in the regional office
  • Ensure that traveling consultants/Lishe staff from other offices are greeted upon and provided with a space furnished with the necessary resources upon arrival at the regional office.
  • Arrange travel for the regional staff
  • Manage the physical layout of the office; monitoring the office lease agreement, equipment service contracts, and other relationships with external vendors; supervising the regional office drivers and ensuring adherence to vehicle safety; and assisting regional recruitments
  • Collect quotations for routine office purchases while upholding Chemonics and USAID policies and procedures on procurements
  • Execute other assignments as requested by the supervisor or Senior Finance and Operations Director.

QUALIFICATIONS

  • Advanced Certificate of Secondary Education Examination required; bachelor’s degree in a relevant field preferred
  • Minimum of three (3) years’ experience working in an office administration role; Experience with USAID rules and regulations regarding procurement and travel preferred
  • Experience working with various types of vendors in negotiating SLAs for the provision of services required
  • Excellent communication skills, including interpersonal skills, and should communicate satisfactorily in written and oral English
  • Proficiency in Microsoft programs (i.e. Excel, Word, PowerPoint) and the ability to learn to use various commercially available accounting software programs
  • Strong organizational and work prioritization skills, attention to detail
  • Ability to work with integrity both independently and as part of a team
  • Ability to work in a professional and cordial manner with staff, implementing and cooperating partners, and relevant NGOs and government agencies often under demanding/busy circumstances
