Established in 2018, SEMA is a not-for-profit enterprise called Stichting SEMA based in Uganda. SEMA empowers citizens to provide real-time feedback on their experiences with public services.

Job Summary

The Program Assistant at SEMA will support the implementation and coordination of various programs and activities aimed at promoting sustainable development, community engagement, and capacity building. This role involves a combination of administrative duties, project management, and fieldwork. The Program Assistant will work closely with the Program Manager and other team members to ensure the effective execution of program activities and the achievement of project goals.

Key Responsibilities:

  • Administrative Support:
    • Perform general administrative duties such as scheduling, filing, and correspondence.
    • Support field officers on their regional program implementation activities.
    • Prepare and distribute meeting materials, reports, and correspondence.
    • Maintain organized records and documentation for all program activities.
    • Support the Program Manager in daily operational tasks as needed.
  • Data Management:
    • Coordinate with the Research team to follow the data quality assurance protocol.
    • Prepare regular progress reports, case studies, and success stories.
    • Ensure data accuracy and integrity in all reporting processes.
  • Program Coordination:
    • Assist in the planning, implementation, and monitoring of program activities.
    • Coordinate and organize meetings, workshops, and training sessions.
    • Prepare and distribute program materials, reports, and documentation.
    • Support the development of project plans, timelines, and budgets.
    • Track project progress and report on key performance indicators (KPIs).
    • Identify and address potential project risks and issues.
    • Conduct field visits to program sites in various regional locations, including rural and urban areas.
    • Engage with community stakeholders, beneficiaries, and partners to gather feedback and assess needs.
    • Facilitate community meetings, focus groups, and participatory activities.
  • Communication and Engagement:
    • Work collaboratively with internal teams and external partners to achieve program objectives.
    • Represent SEMA at relevant meetings, conferences, and events.
    • Build and maintain relationships with key stakeholders and community members.

Qualifications and Skills:

  • Bachelor’s degree in development studies, socia sciences, law, economics or a related fied

  • Minimum 3 years of experience in program management within the socia justice sector.

  • Strong organizational , time management skills with attention to detail.

  • Proficiency in computer applications (e.g. G. Suite, Canva, Spreadsheet, Powerpoint).

  • Ability to work independently and as part of a team.

  • Knowledge of sustainable development practices and community engagement is a plus.

  • Excellent communication and interpersonal skills.

Working Conditions:

The Program Assistant/Assistant typically works in an office environment with standard working hours. There may be occasional overtime or evening events to attend. This is a full-time job (40 hours/week), with occasional weekend activities (conferences, meetings.). This position requires regular fieldwork and travel where SEMA operates. The Program Assistant will be provided with the necessary devices and equipment to perform their duties effectively. This is not a remote role; on-site presence is required.

We offer a full-time contract for 12 months which may be renewed upon successful completion of targets. The probation period is 3 months. PAYE, NSSF and health insurance are covered, as well as 21 holidays and an annual training budget.

Remuneration is a combination of base salary and increments based on acquisition achievements. Please note we are a small, local social enterprise, and we offer salaries according to Ugandan local organization standards – we do not offer an international organization (UN) scale salary. We are looking for someone who is (willing to be) based in Kampala, Uganda.
