Operations Administrator

We are seeking a highly organized and detail-oriented Operations Administrator to join our team. The successful candidate will be responsible for providing administrative support and coordinating operational activities to ensure the smooth running of day-to-day business functions. This role requires strong communication skills, multitasking abilities, and a proactive approach to problem-solving.

Key Responsibilities:

  • Support the operations team in coordinating and managing daily operational tasks.
  • Maintain accurate records of operational activities, including filing, data entry, and reporting.
  • Assist in managing schedules, calendars, and appointments for the operations team.
  • Process and manage documentation related to procurement, vendor management, and inventory control.
  • Handle internal and external communications, including responding to emails, phone calls, and inquiries.
  • Prepare and submit reports related to operations, inventory, and resource allocation.
  • Liaise with various departments to ensure smooth workflow and collaboration on projects.
  • Assist with budgeting, expense tracking, and financial reporting.
  • Ensure compliance with company policies and procedures.
  • Identify and address operational issues promptly, providing solutions to improve efficiency.

Key Qualifications:

  • Bachelor’s degree or Diploma in Business Administration or a related field (preferred but not required).
  • Proven experience in an administrative or operations support role for at least 2 years.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Problem-solving abilities and a proactive attitude.

Added Advantages:

  • Qualification/certification in digital marketing
  • Qualification/certification in finance or book-keeping
  • Knowledge of Swahili language.
