Role summary:
Leta, an innovative logistics-focused SaaS company in the early stages of growth in Africa, is seeking an Office Manager to join our team in Nairobi, Kenya.
We are looking for an Office Manager with a welcoming vibe and great organizational skills. You ensure our office is a great place to work for employees, customers, partners and friends of Leta. In addition you will also coordinate lively events we organize to connect with the tech ecosystem in Africa. Yes, you read it correctly a combination of office management, facility management and event space management.
Daily Responsibilities:
Office management
- Coordination of guest arrivals and departures
- Ensure our office is a great place to work for our team, customers and partners
- Oversight of workplace amenities such as WiFi (together with our Tech team), furniture, and maintaining appropriate office conduct
- Coordinate meetings room bookings and availability of meeting appliances
- Coordinate the office lunch during office days
- Management of office supplies and inventory
Administration
- Support management in regular and ad hoc administrative tasks
- Proper management of petty cash
- Engage and manage relationships with external contractors and service providers
- Negotiate contracts with vendors, focusing on cost-effectiveness and quality service
- Offering HR support for employee onboarding and offboarding processes, including equipment management
Event management
- Arrangement of Town Hall and meeting setups
- Support our Culture club with team events
- Coordinate events for external guests, we regularly host in our office
Facility management
- Manage and maintain Leta’s properties, ensuring compliance with health and safety standards, and legal requirements
- Coordinate building space allocation, layout, and oversee any facility expansions or modifications
- Perform regular inspections and maintenance of systems and facilities to ensure optimal operation.
- Oversight of facilities management
- Develop and oversee the annual facilities budget, monitor expenditures, and adjust as needed.
- Conduct cost-benefit analysis for facility upgrades and repairs
- Implement eco-friendly practices in facility operations and monitor and improve energy usage and efficiency
- Lead facility-related projects from planning to execution
Requirements:
- At least 3 years experience with Office management, preferably within a start up
- Bachelor’s degree in Facilities Management, Business Administration, Marketing, or related field
- Welcoming personality
- Excellent organizational, networking and communication skills
- Proficiency in Google suite/Microsoft Office
- Ability to multitask in a fast-paced environment
- Experience with facility management and knowledge of local health, safety, and environmental regulations is preferred
