Position: Manager, Operations
Job Location: Uganda/ Kenya
About the Role:
BRAC International (BI) is seeking a Manager, Operations to join our Corporate Affairs team in Uganda/ Kenya who is aligned with its ethos of working in partnership with communities to create impact for scale. The Operations Manage will be responsible for providing operational support to Country Offices in the implementation of BI Operations Policies and Guidelines. This role is crucial in ensuring that all operational functions are efficient, cost-effective, and aligned with BRAC’s mission. The Operations Manager will work closely with operations departments in country offices to ensure seamless operations and compliance with organizational policies.
Key Responsibilities:
Procurement Management:
- Provide operational guidance and support to COs in the implementation of BI Procurement Guidelines, so as to achieve total compliance and adherence
- Provide operational support to COs in the development of Annual Procurement Plans.
- Provide operational support and guidance to COs on vendor management.
Administration Oversight:
Provide operational support to the COs to implement approved administrative systems, policies and guidelines to enhance operational efficiency within administrative processes.
Fleet and Travel Management:
- Spearhead the implementation of policies for vehicle usage, maintenance schedules, and driver training programs.
- Provide operational support to COs in the management of the organization’s fleet ensuring regulated optimal utilization, compliance to relevant regulations and traffic laws, cost optimization and control of usage.
- Provide support in the extraction and interpretation of data used in the preparation, interpretation and sharing of fleet management reports,
- Ensure compliance with BI travel policies while optimizing cost, by reviewing travel reports generated by Cos
Safety and Security Management:
- Provide support to COs to implement safety protocols to ensure a secure working environment for all staff.
- Conduct regular risk assessments and emergency drills to prepare for potential threats.
Reporting & Compliance:
- Prepare regular reports on operational performance metrics for senior management consumption.
- Analyze data to identify trends and areas for improvement within operations.
- Ensure adherence to local laws and regulations as well as internal policies.
Safeguarding Responsibilities
Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the programme’s goals on safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
- Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
- Follow the safeguarding reporting procedure in case any reportable incident takes place, and encourage others to do so.
Academic Qualifications:
Bachelor/Master’s in Arts, Social Science or any relevant subject from a reputed University.
Required Skills, Competencies & Knowledge:
- Computer literacy (Word, Excel, PowerPoint,)
- Strong English communication skills (written & oral)
- Ability to work under pressure and with tight deadlines
- Strong ability to follow rules and communicate existing policies in a cohesive manner
- Analytical ability to detect where policies are not being followed or where they can be improved
Experience Requirements:
- At least 5 years of experience in leadership roles overseeing procurement, logistics/ admin /fleet & transport, and supply chain management.
- Well-versed in sourcing, contract negotiations, supplier relationship management. Must have experience in cost reduction strategies to drive operational efficiency for NGOs.
