Job Purpose:
The Customer Service Executive will play a crucial role in ensuring the seamless execution of the order-to-delivery process. This position is pivotal in maintaining high levels of customer satisfaction by providing timely updates, managing relationships, and resolving any issues that arise. By coordinating closely with the sales and customer service teams, the executive will ensure that all orders are processed efficiently and delivered on schedule. The role also involves continuous improvement of processes to enhance efficiency and customer experience, making it integral to the company’s operational success and customer loyalty.
About the role Key duties and responsibilities
i. Oversee the end-to-end order-to-delivery process, ensuring that all orders are processed, dispatched, and delivered on time.
ii. Coordinate with the sales team to manage order entries.
iii. Serve as the main point of contact to provide real-time updates on order status, delivery schedules, and product availability.
iv. Proactively manage customer relationships to address any inquiries or issues, ensuring a seamless flow of information and operations.
V. Work closely with the customer service team to align on order priorities, delivery schedules, and customer communications.
vi. Proactively identify and resolve any issues that may arise during the loading process, including delays, product shortages, or delivery challenges.
vii. Implement corrective actions as needed to prevent future issues and improve the overall loading process.

ix. Continuously collaborate to drive efficiency, adding value to our operations business goals.
x. Track key performance indicators (KP|s) related to order processing, loading times, and customer satisfaction.

xii. Identify opportunities to enhance the product loading process, focusing on efficiency, accuracy, and customer satisfaction.
xiii. Lead initiatives to streamline processes, reduce lead times, and improve the overall customer experience.
Xiv. Manage the product delivery schedule by coordinating with drivers to ensure timely and accurate deliveries.
XV. Monitor driver performance, providing guidance and support to ensure delivery standards are consistently met.
Experience and Qualifications.
i. Bachelor’s degree in business, Supply Chain Management, or a related field.
ii. Minimum of 5 years of experience in customer service or equivalent position
iii. Experience working in an oil and gas company, or supply chain management.
iv. Well organized individual and results oriented.

- TRADE OPERATIONS EXECUTIVE
Job Summary
The Trade Operations Executive is responsible for supporting the Manager to direct, plan and organize our trade in petroleum refined products and commodities with a view to maximizing our business performance.
Key Responsibilities
i. Working Capital and Cash Flow Management
ii. Manage the Company’s working Capital and Cash performance
iii. Perform independent analysis and challenge the Business Units to optimize capital and Cash flow performance
iv. Manage the working Capital and Cash flow forecasts and cash delivery Develop and recommend sustainable working capital improvement programs Provide Assurance on cash and working capital categorization and prioritization
v. Provide insightful and timely analysis of actual and forecast information
vi. Monitor and enforce achievement of agreed periodic cash targets (monthly, quarterly, and yearly)
vii. Maintaining timely and accurate trade accounting and finance records
viii. Business planning and promoting business development
ix. Developing and maintaining related resources and customers and taking charge of the negotiation and performance of major contracts, including position sizing
x. Paying attention to the changes of the futures market, and timely carrying out the work of pricing and hedging
xi. Ensuring all operations activities are conducted in compliance with relevant operating standards.
xii. Liaise with Operations for trade/shipment information and overseeing shipment schedules.
xiii. Monitoring trade logistic process e.g., cargo loading/ discharging, product quality management, freight insurance, agent etc.
xiv. Preparing, checking and validating invoices and payments to suppliers and/or customers.
xv. Monitoring and verifying all trade related incoming and outgoing payments.
xvi. Coordinating the work of external brokers.
xvii. Making high-level decisions on discount rates and credit terms for our key customers. xx. Prepares periodic reports for submission to management
Qualifications and Experience
i. Bachelor’s degree in accounting, Finance, Business Administration. MBA/ Master’s is preferred but not required.
ii. Accounts professional qualification- CPA-K, ACCA etc. or Finance professional qualification- CFA (preferred).
iii. 5 years’ relevant experience in related industry.
iv. Good working knowledge of working capital reporting concepts, performance management techniques, and metrics
v. Ability to leverage data and analytical techniques to develop insights and facilitate viable
vi. Experience in the Oil and Gas industry is preferred but not required.

- SENIOR FINANCE MANAGER
Job Summary
The Senior Finance Accountant is responsible for processing accounting transactions and finance related services which include posting of all transactions, cost tracking, general ledger maintenance, reconciling account balances and bank statements, preparation of monthly financial reports and annual financial statements; transactional processing such as accounts payable and accounts receivable, tax filing, budgeting, processing payments and preparing month-end close procedures.
Key Responsibilities
1. Accounting, Reporting & Auditing
i. Analyze balance sheet and expense accounts and prepare necessary journal entry adjustments and general ledger maintenance.
ii. Institution of financial controls in line with approved budgets.
iii. Maintaining fixed assets register ensuring that assets are properly recognized & depreciation calculated appropriately.
iv. Maintain the monthly cash flow forecast file for the company to ensure that cash is available for operations.
v. Recognition of revenue generated from sales and other sources in accordance with IFRS.
vi. Organization of physical accounting files, maintaining related records including insurance, invoices and LPO’s.
vii. External and internal audit support.
viii. Implement the management letter recommendations as advised by the external auditors.
ix. Monthly/quarterly finance close procedures and reporting of financial results.
x. Preparation of annual financial statements
xi. Monthly filing and payment of VAT and Withholding tax. xii. Prepare ad hoc financial analysis for management
2. Budgeting
i. Prepare, analyze, monitor and report project financial information including budgets, expenditure, forecasts, cost control and cash flows.
ii. Assist in preparation and updating budgets and forecasts including assumptions.
iii. Track all costs and budget including processing of all related invoices and lead quarterly budget meetings to identify and discuss any cost / budget issues.
iv. Coordinate with the business team and finance team to reconcile budgets against funding line / financing source.
v. Coordinate with financiers to ensure drawdowns are undertaken as scheduled and repayments structured accordingly.
3. Working Capital Management
i. Regular assessment of operating liquidity needs and liaising with the operations team to fund the accounts on a need basis.
ii. Cash flows forecasting and reporting on liquidity position.
iii. Key liaison with bankers on the current account operations.
Internal Controls:
Maintain and monitor costs and expenses within the approved budgets.
Ensure financial management tools and information systems are up to date and reconciled between themselves.
Ensure compliance with all company policies and procedures.
Analysis and Process Improvement
Identify opportunities for continuous improvement in areas of responsibility.
Collaborate with working groups and committees as requested.
Conduct reviews and evaluation for cost-reduction opportunities
Qualifications and Experience
i. Bachelor’s degree in accounting, Finance, or business-related fields.
ii. Certified Public Accountant (CPA) or Chartered Accountant (CA) certification.
iii. At least 3 years of progressive experience in accounting, or finance field, including experience in a managerial role Experience in the Oil and Gas industry is preferred but not required.
iv. Strong computer skills, including proficiency in Microsoft Excel and accounting software and experience using financial systems e.g., ERP systems.
v. Knowledge of GAAP, IFRS, and other relevant accounting standards.
vi. Strong financial, risk, client, people-management and leadership skills.
vii. Strong attention to detail, analytical, communication, interpersonal, and organizational skills.
