Responsibilities

- Ensure strict adherence to the practice’s policies, best practices, and industry guidelines to maintain a high standard of care and operational efficiency.
- Drive the implementation of strategic administrative initiatives that support the practice’s growth and excellence in patient care.
- Prepare and present detailed status reports to management, highlighting key performance indicators (KPIs), operational successes, and areas for continuous improvement.
- Maintain a well-organized filing system for patient and staff records, ensuring compliance with all legal, privacy, and healthcare regulations.
- Proactively suggest and implement process improvements to enhance efficiency, patient satisfaction, and employee engagement within the administrative functions.
- Develop and refine administrative systems and procedures to ensure streamlined, high-quality service delivery.
- Ensure all administrative operations comply with relevant healthcare regulations, local labor laws, and industry best practices.
- Lead and develop the HR/Admin team, conducting regular performance evaluations, coaching, and fostering a culture of continuous improvement.
- Ensure all staff records, including HR documents, certifications, and training files, are up to date, easily accessible, and accurately archived.
- Champion the practice’s HR policies and procedures, ensuring alignment with the high-performance culture and patient-focused goals.
- Oversee the entire recruitment process for new staff, ensuring a seamless experience from job posting to onboarding, and selecting candidates who align with the practice’s values and standards.
- Facilitate new staff orientation and training, ensuring a comprehensive introduction to the practice’s culture, systems, and performance expectations.
- Coordinate and optimize daily administrative functions, focusing on improving processes that enhance overall practice efficiency, team collaboration, and patient care.
- Support staff with clear guidelines, tools, and resources for performance management, ensuring accountability and professional growth.
- Manage key administrative functions such as patient scheduling, dental record management, office supplies, and facility maintenance, ensuring smooth and efficient operations.
- Lead recruitment efforts, including vacancy announcements, candidate screening, and interviews, ensuring new hires support the practice’s commitment to excellence and patient satisfaction.
- Manage the HR/Admin budget, ensuring cost-effective use of resources while maintaining high standards of service delivery.
- Provide strategic advice and mediation in resolving personnel conflicts, ensuring a positive work environment and high employee morale.
- Oversee staff contract renewals, training programs, benefits administration, and career development initiatives that align with the practice’s growth and vision.
- Build and maintain strong relationships with external partners, suppliers, and regulatory bodies, ensuring smooth operations and compliance.
- Undertake additional duties as assigned by management to support the practice’s objectives and ensure continued success.
Qualifications
Competencies:

- Minimum of two(2) years experience in an HR/Admin role, ideally within a high-performing healthcare or dental environment.
- University degree in Human Resources, Business Management, or a related field.
- Proven track record of driving operational excellence in a patient-centric, fast-paced environment.
- Ability to deliver measurable results in optimizing HR processes, team performance, and practice efficiency.
- In-depth understanding of healthcare regulations, local labor laws, and the Nigeria dental industry best practices.
- Strong leadership and team management skills, with a focus on fostering a high-performance culture.
- Fluency in English, both written and verbal, with excellent communication skills.
- Knowledge of HR software and tools commonly used in a dental practice setting.Context-Specific Skills, Knowledge, and Experience:
- Fluency in local languages (e.g., Igbo, Yoruba, Hausa) is an asset.
- Advanced proficiency in Microsoft Office and dental practice management software.
