Scope of Work
Reporting to the HR and Admin Officer, the HR/Admin Volunteer is responsible for providing support for day-to-day administrative requirements, functions, and general office management of the IRC Kiryandongo office.
Duties And Responsibilities
- Support in creation of new staff personnel files.
- Support recruitment exercise including sorting, longlisting of applications.
- Updating the existing personnel files and ensuring they have the necessary information.
- Maintain and update the timesheet tracking database for national staff in Kiryandongo and file all timesheets appropriately.
- Supports during new staff on boarding and ensures all the paper works are correctly done and share with the Supervisor for review.
- Maintain accurate and up to date personnel records of all employees including orderly archiving.
- Assisting in stamping all HR related documents.
- General organization of HR Office documents/paperwork.
- Perform any other Official duties as assigned by the supervisor.
Minimum Qualifications
- A Bachelor’s degree in Human Resource Management, or related field.
- Ability to work under pressure and manage multiple priorities.
- Knack for detail.
- Able to communicate effectively.
- Strong computer skills especially in MS excel and word.
- University Degree in Human Resource Management, Public Administration, or similar professional qualification
- 1 year of relevant professional experience in Human Resources
- Strong knowledge and experience of HRISs, and ideally in supporting others to use HRIS.
- Previous experience working with an international NGO in a cross-cultural setting, preferably in the HR sector
- Ability to analyze and interpret numerical data and processes.
- Ability to maintain the highest degree of discretion and confidentiality of HR information.
- Ability to use judgement to determine when to deal with a query to conclusion or when to pass to another member of the team.
- Organized and methodical and with good attention to detail.
- Willingness and ability to work within a multi-site, international organization.
- Customer focused with good interpersonal skills
- Ability to work on own initiative with limited supervision
- Ability to deal with ambiguity and work towards a resolution
- Excellent written and verbal communication skills
- Excellent Microsoft Office packages – Word, Excel, and Outlook.
- Able to coach and support others.
- A team builder with excellent people skills; must be culturally sensitive.
