Job Objective/Purpose
Ensure proper unit staff supervision and fleet management with emphasis on adherence of policies and protocols
Main Responsibilities
1.Management of Vehicle Use & Maintenance
•Ensures that duties are properly assigned to staff
•Ensures that vehicles are clean, kept secure and that all systems – lights, brake, tyres, signaling etc. are in good working condition with proper checks and verification of engine, oil levels, battery, brake fluid and fuel
•Ensures that the vehicles are properly maintained and stocked with relevant documents, consumables and working equipment ( spare tyre, spanner, emergency triangle, first aid box, umbrella etc)
•Ensure that any breakages, equipment malfunctions and faults are recorded and repaired in the shortest time possible.
•Organizes renewal of all road licenses and insurance before expiry.
•Maintains a comprehensive service log for each vehicle and establishes a maintenance program to minimize cost and maximize use of vehicles.
•Ensures that drivers report problems / malfunctions immediately and that they are resolved within the shortest time possible.
2.Record Keeping & Reporting
•Ensures that all logbooks – mileage, record of trips are completed by each driver
•Ensures that drivers get copies of approved transport requisition forms for staff transport requests and that they carry only authorised passengers
•Ensures that fuel consumption is monitored and any discrepancies (drastic increase or reduction) per vehicle are explained.
•Ensures that all incidents – delays, mechanical problems; accidents etc. are immediately reported and takes appropriate action to rectify or solve the problem
•Ensures that vehicle use (especially at night and on weekends) is monitored using the Fleet Tracking system and any misuse or suspected misuse is dealt with immediately per laid out procedures. Reports misuse of any company vehicles, loss or damage of vehicles or other items (radios, jack, tyre etc.)
•Submission of monthly reports to the Hospital Manager and the Senior Management Team
3.Dispatch Duties
•Ensures that the dispatch desk is managed efficiently, proper scheduling of tasks and timely service that takes into account of emergencies.
4.EMT Supervision
•Communication skills – Ensures that all EMT’s are knowledgeable with the radio communication systems
•Ensures that the EMT Drivers complete all dispatch data forms & documents (invoices & receipts) and send them to the relevant departments in time.
•Ensures that they exercise good judgment, can obtain and act on information quickly and accurately in emergency situations.
•That they remain calm and effective under heavy workloads and in emergency situations.
•That they can accurately assess patients at the scene and en route and that they communicate with medical personnel to determine the next course of action when a change in condition is noted
5.Leadership / Management Skills
a. Management – Ensure that units are run according to Avenue’s laid down procedures and protocols. Key areas include:
•Staff Engagement (Staff Meetings and Feedback).
•Provision of the required resources to perform duties effectively.
•Efficient Staffing – Liaise with SMT/HR to ensure optimal staff levels as well as efficient use of overtimes and locums.
•Ensure Avenue attracts and retains staff from diverse backgrounds on merit
b. Staff Motivation and reduced attrition rate of < 12%.
6. Maintain client and patient privacy and confidentiality at all times
7. Any other duty as assigned by the supervisor in line with the job description.
