Front Desk/Administrative Assistant

Key Duties and Responsibilities:

  • Act as the first point of contact for visitors, managing front desk operations, client inquiries and offering excellent customer care service for callers and visitors.
  • Answer incoming telephone calls in a professional manner and direct to the appropriate person.
  • Accurately record messages and forward to the intended recipient in a timely manner.
  • Monitor visitor access, ensuring the visitor log book is completed as required.
  • Receive and dispatch outgoing mail.
  • Acknowledge receipt of goods delivered to the ONICC office and follow up outstanding orders.
  • Ensure the reception area is maintained in a clean and tidy condition at all times.
  • Generate routine correspondence.
  • Maintain an up-to-date internal telephone list and distribute to all staff.
  • Raise requisitions for purchases when required.
  • Manage the stock levels of stationery and other supplies for the office, ensuring stock is received and stored on a timely basis.
  • Replenish paper supplies to the photocopiers and fax machines on a daily basis.
  • Provide assistance with photocopying and binding when required.
  • Provide general administrative and secretarial support when required.
  • Provide support in areas of Accounts Payable and Accounts receivable and other financial tasks.

Qualifications, Skills and Experience:

  • Bachelor’s degree/diploma in business administration, Front office management or related field
  • 1-2 years’ experience in managing reception and administration
  • Ability to handle multiple tasks efficiently and prioritize responsibilities.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong attention to detail and accuracy.
  • Positive and professional demeanor.
  • Must be computer literate with skills in MS Word, Excel, PowerPoint, and QuickBooks.
