Job Title: Front Desk Receptionist
Location: Norvik Hospital, Kampala, Uganda
Reports To: Hospital Administrator

Overview:
Norvik Hospital is seeking a highly organized and customer-focused Front Desk Receptionist to join our dedicated team. As the first point of contact for patients and visitors, you will play a vital role in delivering exceptional service and ensuring the smooth operation of our front desk. The ideal candidate will have a background in hospital reception, knowledge of Health Management Information Systems (HMIS), and experience with insurance processes.

Key Responsibilities:

  • Greet and direct patients, visitors, and staff in a courteous and professional manner.
  • Register patients using the hospital’s HMIS, ensuring accurate data entry of personal and medical information.
  • Schedule patient appointments, consultations, and follow-ups while managing the hospital’s appointment calendar.
  • Coordinate patient admissions and discharges, ensuring all required documentation is processed efficiently.
  • Handle patient inquiries and provide information about hospital services, insurance coverage, and payment options.
  • Manage incoming phone calls, route them to appropriate departments, and take messages as needed.
  • Assist patients in processing medical insurance claims and ensure accurate documentation and follow-up.
  • Maintain confidentiality of patient information in accordance with hospital policies and privacy regulations.
  • Support administrative tasks, such as filing, document management, and office supply inventory.
  • Handle payments and maintain accurate billing records for patient services.

Qualifications and Skills:

  • Degree or Diploma in Business Administration, Office Management, or a related field.
  • Proven experience in a hospital setting or healthcare environment, preferably as a receptionist.
  • Proficiency in Health Management Information Systems (HMIS) is a must.
  • Knowledge of medical insurance processes and claims handling is an added advantage.
  • Strong communication and interpersonal skills with a focus on customer service.
  • Excellent organizational skills and attention to detail.
  • Ability to work in a fast-paced environment and manage multiple tasks efficiently.
  • Proficiency in Microsoft Office Suite and basic computer skills.
