  • CUSTOMER SERVICE EXECUTIVE

Fracht Kenya, a leading logistics and freight forwarding company, is looking for a Customer Service Executive to join our Mombasa branch. This role is responsible for cargo tracking, customer communication, invoicing, and operational coordination to ensure excellent service delivery to our clients.

ROLE OVERVIEW

The Customer Service Executive will be responsible for preparing coordinating cargo report lacal shipments, updating clients on shipment progress, and ensuring accurate documentation and invoicing.

The role requires strong communication skills, problem-solving abilities, and attention to detail in a fast-paced logistics environment.

KEY RESPONSIBILITIES

Cargo Reporting & Operations

  • Prepare and send daily cargo reports to customers.
  • Track and monitor import and Exports shipments, updating clients on additional requirements.
  • Manage and coordinate local shipments under Mombasa clearance (port/CFS).
  • Oversee project cargo, ensuring correct documentation and timely client updates.
  • Provide shipment details and guidance to customers, ensuring smooth logistics processes.

CUSTOMER COMMUNICATION & ISSUE RESOLUTION

  • Act as the main point of contact for customers, handling inquiries via email, phone, or in person.
  • Address and escalate customer queries and complaints, ensuring resolution.
  • Provide accurate shipping and logistics information to clients.
  • Coordinate with partner offices and local stakeholders for smooth shipment handling.

INVOICING & DOCUMENTATION

  • Validate and process billing to ensure accurate invoicing through the TRAKIT system.
  • Monitor general requests, invoice escalations, and system updates.
  • Maintain KP| statistics for sea shipments.

GENERAL & AD-HOC RESPONSIBILITIES

  • Perform other duties assigned by the Head of Customer Service.
  • Promote Fracht Kenya’s services to potential and existing clients.

QUALIFICATIONS & EXPERIENCE

Education:

  • Bachelor’s Degree in Business Administration or Customer Service Management.
  • Diploma in Customs Clearing & Forwarding.
  • Certificate in East Africa Customs Freight Forwarding Practicing
  • Certificate.

Experience:

• Knowledge of customs clearing and forwarding is an added advantage.

  • SHIPPING EXECUTIVE

ROLE OVERVIEW

The Shipping Executive will be responsible for managing and overseeing shipping line operations for both import and export shipments.

This includes ensuring timely coordination of shipping activities, maintaining relationships with shipping lines, and supporting the Head of Section to ensure seamless operations

KEY RESPONSIBILITIES

  • Manage day-to-day shipping line operations efficiently.
  • Ensure timely processing of Delivery Orders within 48 hours as per KPls.
  • Monitor and coordinate shipment arrivals at the Mombasa port.
  • Oversee accurate documentation, including Bills of Lading, manifests, and customs declarations.
  • Maintain up-to-date knowledge of shipping regulations and ensure compliance.
  • Generate and update DO status reports using TRAKIT.

  • Collaborate with logistics, warehousing, and transportation teams for smooth operations.

QUALIFICATIONS & EXPERIENCE

Education:

• Diploma in Clearing & Forwarding, Logistics, Supply Chain Management, Business Administration, or a related field

Certification:

• KESRA or ICS(Institute of chartered shipbrokers will be an added advantage.

EXPERIENCE:

  • Knowledge in customs clearing and forwarding is an added advantage.
  • Experience in dealing with shipping lines and depots.
  • Prior experience using TRAKIT, Cargowise, or similar operational systems.

This role is responsible for overseeing port operations, supervising a team of Field Coordinators, and ensuring efficient import and export processes through the port of Mombasa.

ROLE OVERVIEW

The Head of Port Operations will manage all port activities, ensuring compliance with customs regulations, shipping procedures, and company policies. The role requires strong leadership, problem-solving skills, and the ability to work in a high-pressure environment to optimize operational efficiency and customer satisfaction.

KEY RESPONSIBILITIES

  • Port Operations & Cargo Management
  • Supervise and coordinate port clerks and field coordinators for efficient cargo processing.

  • Investigate and resolve operational challenges, including equipment breakdowns, labor shortages, and security issues.
  • Monitor and analyze key performance indicators (KPls) to drive efficiency and improve service delivery.

Leadership & Team Management

  • Provide leadership, guidance, and performance management to the port operations team.
  • Ensure the safety and security of personnel, equipment, and cargo in line with industry standards.

Safe Vehicle Operation – Drive company vehicles, including vans, trucks, or saloon cars, following all traffic laws and safety guidelines.

Timely Transport of Goods – Deliver materials to assigned destinations punctually and safely.

Loading & Unloading – Secure and handle cargo to prevent damage during transit.

Vehicle Inspections – Conduct pre-trip and post-trip inspections to ensure roadworthiness.
