
FLEET ASSISTANT
The Fleet Assistant will support the Fleet Manager in managing the organization’s fleet operations to ensure efficient, safe, and cost-effective transportation services. This role involves overseeing the maintenance, scheduling, and monitoring of vehicles, ensuring compliance with all relevant regulations, and providing support for logistics operations.
REPORTS TO: FLEET MANAGER
LOCATION: GULU, UGANDA
KEY DUTIES AND RESPONSIBILITIES
FLEET MANAGEMENT
- Assist in coordinating and scheduling vehicle movements to meet program and operational needs.
- Monitor vehicle usage and mileage to ensure optimal utilization.
VEHICLE MAINTENANCE
- Ensure that all vehicles are regularly serviced and maintained in good working condition.
- Coordinate with service providers for repairs and maintenance.
COMPLIANCE AND SAFETY
- Ensure all vehicles comply with local regulations and organizational policies.
- Conduct regular safety inspections and ensure that vehicles are equipped with necessary safety gear.
FUEL MANAGEMENT
- Monitor and manage fuel usage to ensure efficient consumption.
- Maintain accurate fuel records and reports.
LOGISTICS SUPPORT
- Assist in planning and coordinating logistics for field missions and program activities.
- Support in the preparation and dispatch of goods and supplies.
ADMINISTRATIVE DUTIES
- Prepare and submit regular reports on fleet operations and performance.
- Maintain an organized filing system for all fleet-related documentation.
PETTY CASH MANAGEMENT
• Issue out petty cash as per company policies. Carry out weekly cash counts and file the cash count certificate. Collect receipts from service providers. Oversee the penalty notices
COMMUNICATION
- Coordinate with drivers, program staff, and other stakeholders to ensure smooth fleet operations.
- Provide timely updates to the Fleet Manager on any issues or challenges
QUALIFICATIONS
- Diploma, Certificate, High School Education or equivalent in Business Administration, Logistics, Supply Chain Management, or a related field
- Experience in vehicle maintenance and management preferred
- Knowledge of local regulations and safety standards
- Excellent interpersonal and communication skills
- Ability to adapt to a decentralized, fast-paced, and evolving environment.
- Exceptional organizational skills and the ability to manage competing priorities.
SKILLS
- Mechanical, electrical, and hydraulic troubleshooting
- Basic computer literacy
- Defensive driving certificate (preferred)
- Familiarity with fleet management software
