Financial Assistant

Pendekezo Letu is dedicated to empowering street-connected children, youth, and their families in Nairobi’s informal settlements through programs in street outreach, economic empowerment, rehabilitation, reintegration, access to justice, and youth employability.

We are looking for a Dedicated Finance Assistant to support our Finance department in finance, human resources, program, and safeguarding functions and ensure efficient, accurate, and transparent resource management.

The successful finance assistant shall be expected to possess a strong knowledge of bookkeeping and accounting principles, good organizational skills, and working knowledge of accounting software. Ultimately, the successful applicant shall be expected to have integrity, excellent mathematical skills, and an understanding of data privacy standards.

Key Responsibilities

1. Finance Management

  • Transaction Processing:Assist in processing and recording payments/transactions, updating financial records, managing invoices and ensuring all financial documentation is accurate, complete, and filed appropriately.
  • Managing expense reports

This will involve checking, verifying, and processing all expenses incurred by employees, ensuring they comply with the company’s policies, and recording them on the accounting system.

  • Accounts Payable and Receivable:

a) Manage petty cash, prepare payment vouchers, and ensure timely settlement of all accounts receivable and payable.

b) Processing sales and purchase invoices and updating the company’s computerized accounting system to ensure that all business transactions are accurately documented and accounted for.

  • Bank Reconciliations: Conduct monthly bank reconciliations to ensure accurate financial records and report discrepancies to the Finance and Administration Manager.
  • Budget Monitoring: Track expenditures against budgets for various projects and report variances to ensure adherence to project budgets.
  • Financial Reporting: Prepare monthly financial statements, assist in quarterly and annual reporting, and participate in audits as required.

2. Human Resource Support

  • Payroll Administration:

a) Assist in the preparation and disbursement of payroll, including statutory deductions (SHIF, NSSF, PAYE) and timely submission to relevant authorities.

b) Keeping records up to date and resolving discrepancies to ensure accurate payment to employees.

  • Staff Records Management: Maintain an organized and confidential filing system for all HR records, including contracts, leave records, and performance appraisals.
  • Recruitment Support: Assist in the recruitment process by scheduling interviews, collecting documents, and conducting initial verifications.

3. Program Support

  • Budget Preparation for Programs:

a) Work closely with program teams to prepare budgets for various projects, ensuring alignment with organizational objectives.

b) Preparing monthly budget forecasts and annual budgets to help monitor the company’s expected income and expenditure and provide input to the company’s financial plans.

  • Expense Tracking: Track expenses related to program activities and provide timely updates to program leads, ensuring financial adherence to donor requirements.
  • Maintaining financial files and records

Maintaining accurate and up-to-date financial files and records using spreadsheets and accounting software for the provision of clear audit trails for accurate decisions regarding cash flow, sales and liabilities.

  • Grant Compliance: Assist in monitoring grant compliance by reviewing financial reports, validating expenses, and ensuring compliance with donor guidelines.
  • Procurement: Support the procurement process for program needs by obtaining quotations, coordinating purchases, and ensuring inventory management.

Qualifications

  • Education: Have at least CPA Part 4
  • Experience:At least 2 years of experience in finance or accounting, preferably with an NGO

Skills:

· Proficiency in accounting software (e.g. QuickBooks) and MS Office Suite, particularly Excel.

· Strong organizational skills, attention to detail, and the ability to multitask.

· Excellent communication and interpersonal skills.

· As a confident and articulate communicator, you would be skilled in liaising with clients, suppliers and staff in other departments as part of your role as finance assistant.
