Keeping Alive Societies’ hope (KASH) is a national NGO whose key priority areas include providing integrated health services, human rights interventions, governance, economic empowerment, and institutional strengthening among marginalized communities. We are currently seeking the services of a highly competent Finance Officer.
Role Description
The officer will be responsible for the day-to-day management of the administrative finance function of the organization. On financial functions, she/he will be responsible for coordinating and supporting the development and monitoring of budgets and forecasts, liaising with the finance and administration department to support the timely processing of financial transactions, maintaining a healthy balance sheet, providing audit support, and aligning of processes and procedures. The role holder will report to the Finance and Admin manager.
Duties and Responsibilities
- Support in monitoring budgets and keeping project management updated about spending against project budgets.
- Ensure compliance with all USAID and KASH policies, practices, and regulations; advise project staff on donor requirements.
- Analyze project expenses, on a monthly and quarterly basis.
- Prepare monthly financial projections, forecasts, and cash requests.
- Support in the coordinating of the annual work plan and budgeting process with the project team.
- Support procurement of commodities and other project equipment as needed, in collaboration with the procurement committee.
- Support the project team to identify and ensure that necessary approvals are secured.
- Process and review payment vouchers and mobile money payments. Track outstanding advances and follow up to ensure all are cleared on timely basis and in line with KASH’s financial policies.
- Respond on a timely basis to all suppliers’ inquiries, reconcile all the suppliers’ statements with KASH’s records and update the management on any discrepancies.
- Respond to staff inquiries on a timely basis on any financial issues.
- Carry out monthly Bank Reconciliations.
- Process and review payment vouchers for supplier’s payments, posting transactions in QuickBooks.
- Support follow-up on receipts from service providers for VAT reports to PATH as needed and submit relevant documentation for DA1 processing.
- Support internal and external audits including monitoring completion of corrective action.
- Support property and asset management including IT, equipment, transportation and insurance.
- Support procurement processes and follow up to ensure that they are delivered on time with the required specs.
- Follow-up on VAT refunds from suppliers for approved DA1 forms
Required skills and experience:
- Bachelor’s degree in accounting
- CPA finalist
- Minimum of three years’ experience in accounting handling USAID-funded projects.
- Experience in developing, monitoring, and reporting on budgets.
- Thorough knowledge of applicable USAID rules and regulations.
- Proficiency in MS Office applications including Word and excel, hands-on work experience with quick books:
- Experience in managing project funds, preparation of bank reconciliations, financial statements, and financial reporting and data analysis, auditing, and taxation.
- Able to work as part of a team and to build strong working relationships.
- Excellent attention to detail, sound planning and organizational skills, and problem-solving skills.
- Analytical approach to work and strong time management skills
- Ability to communicate effectively both orally and in writing.
- Strong work ethic, resourcefulness, integrity, credibility, and dedication to KASH’s mission.
- Professional proficiency in English required.
Job experience:
At least 3 years of relevant experience in a similar position. Preferably having managed USAID Funding.
