Background: Mildmay International Kenya (MIK) is a leading national Public Benefit Organization committed to improving health and social equity. Since its establishment in 2003, MIK has spearheaded transformative initiatives, delivering community-based programs that support sustainable health improvements. MIK is currently implementing a TB intervention project in Bungoma and Vihiga Counties, funded by the Global Fund through AMREF Health Africa. This initiative focuses on strengthening TB case detection, treatment adherence and prevention strategies in Bungoma and Vihiga Counties.

We are looking for a dynamic well qualified and motivated individual to join our team.

Job Summary:

Reporting to the Finance and Admin Officer, the post holder will provide management accounting and financial support to designated projects in line with Mildmay’s financial policies and procedures and donor grant management.

Safeguarding: This position requires the post holder to have regular contact with vulnerable individuals, including children. Therefore, the candidate must have no record of safeguarding or criminal violations. The post holder is also required to comply with Mildmay’s safeguarding policies and guidance.

Key Responsibilities

  • Guide on and implement Mildmay’s financial policies, procedures and donor compliance requirements.
  • Record all financial transactions accurately, completely and promptly in line with the Online QuickBooks Accounting Software.
  • Ensure sound financial management and compliance activities of assigned grants/projects and office.

Operational tasks

  • Monitoring of project budgets and expenses.
  • Preparation of vouchers, cheques, Mpesa and EFT payments and processing of payments.
  • Invoicing/tracking of accounts receivable and cash receipts.
  • Maintain, Record and Reconcile petty cash accounts.
  • Liquidation of employee receivables in line with manual records/expense forms from staff.
  • Conducting site visits and training/mentoring of project staff.
  • Assisting in reviewing monthly field documents/requisitions, ensuring they are properly supported, approved and filed.
  • Ensure that payment requests are in line with the finance procedures and that the procedures are used to guide the financial operations of the project.
  • Follow up and ensure that funds for all approved monthly requisitions and other payments are transferred to the field on time.
  • Follow up for confirmation of funds transferred to the field offices ensuring such confirmations are filed together with the payment vouchers.
  • Assist in monthly petty cash and bank reconciliations
  • Assist the Finance team in the preparation of monthly financial reports as may be assigned
  • Assist in facilitating funds transfer to field offices based on approved requisitions prepared from the field and approved by the Executive Director.
  • Assist with retrieving information and documents to support the internal and external audit processes as per auditors’ requests.
  • Ensure proper filing of financial documents, data and other correspondence for future audits and reviews, ensuring security and confidentiality of the
    documents in line with organization policy and donor requirements
  • Any other duty as required from time to time.

Qualifications

  • Candidate must possess a minimum qualification of Degree in finance or accounting-related field and/ or CPA part 3
  • A minimum of at least two (2) years of accounting experience in a similar capacity working with an NGO or donor-funded projects.
  • Experience in the use of MPESA systems for bulk payment and in the use of QuickBooks (QB) and Navision will be an added advantage.
  • Computer literate with experience in Excel accounting packages Ability to work under pressure and minimum supervision to meet deadlines
  • Strong analytical and ability to prepare concise, informative financial reports
  • Strong organizational skills, with an emphasis on time management and the ability to plan, organize and implement various activities within a time-pressured environment.
  • Ability to work both independently and as part of a team.
  • Good professional verbal and written communication skills.
  • Knowledge of administrative duties & procurement would be an added advantage.
