Job Summary
The Accounts Assistant will support the Finance department in daily accounting duties. This includes reviewing payments, processing payments using the SAGE system, organizing and filing accounting documents, preparing statutory returns, processing payroll, managing staff advances, and producing periodic financial reports
Responsibilities
- Assist the Accountant in processing payments, including preparing cheques and issuing receipts for cash inflows to EngenderHealth
- Ensure all financial documents are complete and properly filed with relevant documentation, such as vouchers, payment requisitions, proforma invoices, bid analyses, contracts/LPOs, receiving reports, tax invoices, proper codes, and receipts.
- Prepare and manage Local Purchase Orders, ensuring accurate and timely payment to suppliers.
- Assist in preparing accurate monthly payroll and returns, ensuring timely submission of statutory returns to the respective authorities (TRA and Pension Authority) both monthly and annually.
- prepare creditors’ reconciliations and confirm that they match the statements of accounts before making any payments to prevent double payments to vendors and contractors.
- Assist in preparing audit schedules and documents.
- Prepare receipt vouchers and promptly bank all received money/cheques.
- Assist in inventory management by preparing and updating the inventory/fixed asset register and conducting inventory counts twice a year.
- Manage petty cash by reviewing and compiling petty cash vouchers, requesting replenishments, and ensuring daily record accuracy and cash balance.
- Ensure staff properly and promptly account for their advances and assist in reconciling staff advances.
- Assist in preparing monthly financial reports for projects.
- Perform any other relevant duties assigned by the immediate supervisor
REQUIREMENTS
- University degree in Accounting, Advanced Diploma in Accountancy, or equivalent.
- Minimum of two years of experience.
- Experience in accounting and auditing.
- Experience with donor-funded projects.
- Proficiency in Microsoft Office applications, particularly Word and Excel, and experience with accounting software, especially Sage.
- Ability to review payments and filings with minimal supervision.
