Executive Assistant

Key Responsibilities

Executive Support:

  • Manage the CEO’s daily schedule, appointments, and meetings.
  • Prepare and coordinate materials for meetings, presentations, and reports.

• Serve as the first point of contact for the CEO, handling inquiries with professionalism.

Communication Management:

  • Screen, prioritize, and manage the CEO’s email and correspondence.
  • Draft, proofread, and format documents and communication on behalf of the CEO.

Event Coordination:

  • Organize and coordinate events, meetings, and travel arrangements for the CEO.
  • Handle logistics for conferences, board meetings, and team gatherings.

Administrative Oversight:

  • Maintain confidentiality and ensure compliance with company policies in all matters.
  • Implement and manage efficient office systems and procedures.
  • Handle expense reporting and budget tracking for the CEO.

Stakeholder Engagement:

  • Act as a liaison between the CEO and internal or external stakeholders.
  • Coordinate communication to ensure seamless operations across the organization.

Special Projects:

  • Assist the CEO with ad hoc projects, research, and assignments.
  • Provide strategic support to ensure the execution of high-priority initiatives.

Requirements

  • Minimum of 10 years of experience as an Executive Assistant or in a similar role, preferably supporting C-level executives.
  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
  • Exceptional written and verbal communication skills.
  • Excellent organizational and time management abilities with a high level of attention to detail.
  • Proven ability to manage multiple priorities and adapt to shifting demands.
  • Discretion and ability to handle confidential information with integrity.
  • Strong interpersonal skills and the ability to build relationships at all levels of the organization.
