About the Department
Deloitte East Africa’s Executive Office has a well-versed team uniquely positioned to support the strategic agenda of our clients in the key domains of growth, business improvement & optimization, and strategic transformation. We currently have an exciting opportunity for a dynamic person to join our Deloitte East Africa Team in the Office of the Chief Executive Officer (OCEO) as an Executive Assistant. This position will be based in our Nairobi office in Kenya.
Main purpose of the job
Reporting directly to the Chief Executive Officer (CEO) and Chief of Staff, the Executive Assistant filters and attends to the day-to-day functions that are part of the Chief Executive’s role so that the Executive can focus on the high-level leadership and strategy functions of the firm.
What you will do
Admin and Project Management:
- Manage the CEO’s calendar scheduling.
- Work with the Chief of Staff to manage the CEO’s agenda and organize key meetings on behalf of the CEO.
- Support meeting management, including preparing agendas, attending to meeting logistics, travel arrangements and recording minutes.
- Assist with business reporting and analysis as required, supporting the Chief of Staff. This may be internal analysis as required by leadership, or for Africa and Global reporting requirements.
- Manage department supply inventory, including stationary, branded gear and OCEO amenities.
- Responsible for OCEO administrative tasks, including printing, submitting expense reports and managing invoices.
- Maintain OCEO records and manage document repository on MS Teams.
Stakeholder Management and Strategic Communications
- Support Chief of Staff with drafting and sending key communications on behalf of the CEO, including drafting official letters, emails and presentations.
- Drive external stakeholder management alongside Chief of Staff, including maintaining a client contact list for the CEO, setting up meetings, providing reference material ahead of client engagements and manage risk logistics related to external engagements i.e., BRMS.
- Play a key role in the coordination of staff engagements alongside the Chief of Staff, including town halls, CEO office hours, drink-ups, induction meetings etc.
- Support OCEO strategic initiatives as required.
Qualifications
- A Bachelor’s Degree in a relevant field.
- Computer proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).
- At least 5 years of relevant work experience working in a corporate environment.
