We are looking for an experienced Event Planner to organize an Accessibility Walk that will be one of the events leading to the observance of the International Day of Persons with Disabilities in Nairobi.
About inABLE
inABLE.org is a nonprofit organization based in Kenya with a mission to empower persons with disabilities in Africa through assistive technology. The priority was the creation of a computer-assistive-technology program for blind and low-vision youth in Kenya to provide digital skills training to the disadvantaged youth. Description
We are looking for an experienced Event Planner to organize an Accessibility Walk that will be one of the events leading to the observance of the International Day of Persons with Disabilities in Nairobi. The Event Planner will be responsible for the comprehensive planning, coordination, and execution of the event, ensuring a successful and memorable experience for all participants. He/she will report to the inABLE management and will be part of the team that is responsible for the smooth execution of the event.
Key Responsibilities
- Develop a detailed event plan, including timelines, budgets, and logistics.
- Collaborate with stakeholders to define the event’s goals, theme, and branding.
- Secure appropriate venues, obtain necessary permits, and ensure compliance with local regulations.
- Prepare and manage the event budget, tracking all expenses and revenue.
- Identify and secure sponsorships and in-kind donations to support the event financially.
- Monitor expenditures to ensure the event stays within budget.
- Design and implement a marketing strategy to maximize participation.
- Organize all event logistics, including registration, on-site management, and post-event activities.
- Assign roles and responsibilities, ensuring adequate coverage for all aspects of the event.
- Provide clear instructions and support to volunteers and staff during the event.
- Lead the event on the day, ensuring all activities run according to the schedule.
- Oversee participant registration, walk route management, and the flag-off ceremony.
- Address any issues or emergencies that arise during the event.
- Conduct post-event evaluations, gathering feedback from participants and stakeholders.
- Prepare a final report summarizing the event’s success, financial outcomes, and areas for improvement.
- Coordinate thank-you communications to sponsors, volunteers, and participants.
Qualifications
- Must have a degree in Project Management, Public Relations, any other relevant field.
- At least five years of professional events management experience.
- Previous experience organizing walks, races, or similar events.
Knowledge and Skills
- Knowledge of local regulations and permitting processes for public events.
- Great communication and customer service skills
- Flexibility in a fast-paced environment
- Proficiency in computer skills
- Reporting skills
- Negotiation skills
- Excellent attention to detail, organizational and multitasking skills
- Proficient in English and Swahili.
- Experience in disability or inclusive events is an added advantage
