Refactory Limited is an academy that seeks to address the challenge of youth
unemployment by closing the skills gap for talent in software & tech-related fields in
Africa. Refactory Limited (Refactory) was established by four partners; Clarke
International University (CIU), Laboremus Uganda Ltd, and Fontes Foundation and Youth
With A Mission UK.
Specific Terms of Reference
Position Overview
The Data & Systems Analyst will be responsible for managing data systems, analysing
programs data, and providing insights to support decision-making and program
improvement at Refactory. This role involves overseeing data collection, maintaining
databases and systems, generating reports, and developing analytical tools to optimise
program performance and student outcomes.
Key Responsibilities:
Data Collection, Analysis and Reporting:
● Design and implement data collection protocols, surveys, and assessment tools
to gather information on student demographics, enrollment, attendance,
learning progress, and outcomes.
● Compile, clean, and analyse educational data from multiple sources to
generate reports, dashboards, and visualisations for internal and external
stakeholders.
● Conduct statistical analysis to identify patterns, trends, and correlations in
educational data.
● Provide insights and recommendations based on data analysis to support
program planning, curriculum development, and instructional improvement
efforts.
● Collaborate with program staff, instructors, and administrators to interpret data
findings and translate insights into actionable strategies for program
enhancement.
● Prepare regular reports, presentations, and updates on program performance,
student achievements, and operational metrics using business intelligence tools
to inform decision-making and program evaluation.
● Work with cross functional teams to ensure continuous improvement in data
collection and analysis workflows and system performance.
Data Management and Systems Administration:
● Assess existing systems for functionality and efficiency.
● Work with IT staff and external vendors to implement software solutions, APIs, and
data integration tools to enhance data management capabilities and reporting
functionality.
● Manage and maintain the academy’s data systems, including student
information systems (SIS), learning management systems (LMS), and other
educational databases.
● Ensure data accuracy, integrity, and security by implementing data quality
control measures, data validation checks, and data governance policies.
● Identify opportunities to integrate data systems, streamline workflows, and
automate data processes to improve efficiency and data accessibility.
Training and Capacity Building:
● Provide training and technical assistance to staff, instructors, and stakeholders on
data collection protocols, data analysis techniques, and data visualisation tools.
● Build the capacity of users to access and interpret data effectively, enabling
informed decision-making and evidence-based practice.
Qualifications and Experience:
● Bachelor’s degree in data science, computer science, information technology,
statistics, or a related field. Master’s degree preferred.
● At least 3 years of experience in data analysis, database management, or
business intelligence, preferably in an educational or nonprofit setting.
● Proficiency in data analysis tools and software, such as SQL, Python, R, Excel,
Tableau, Power BI, or similar platforms plus cloud software.
● Strong analytical and problem-solving skills, with the ability to translate complex
data into actionable insights and recommendations.
● Experience working with educational data systems, learning management
systems, and student information systems is highly desirable.
● Knowledge of data privacy laws, compliance standards, and best practices for
data security and confidentiality.
● Excellent communication, collaboration, and project management skills, with the
ability to work effectively in a team environment.
Reporting Structure:
The Data and Systems Analyst will report to the Head of Strategy & Analytics, and work
closely with the Programs Team and the Monitoring, Evaluation & Learning Specialist.
