About the Company:

Goodman International is a leading Pharmaceutical Company based in Kampala – Uganda, dealing in the Importation and Distribution of Human and Veterinary Medicines, surgical and Nutrition products. The company is an Agent & Local Technical Representative (LTR) for Several Manufacturers from Europe and the Middle East.

 

Job Summary: The Assistant Administrator / Secretary is expected to operate and perform to the highest professional standards with considerable Independence, Initiative, Diversity and high level organizational skills and knowledge of Company Policies.

 

The Overall Responsibility of the Secretary is to support Management in the fulfillment and Execution of duties to ensure efficient management of the office and effective liaison with external partners and contacts as delegated.

 

Key Duties and Responsibilities:

  • Organize and facilitate company visitor activities such as reservations of hotels, transport and other in-house compliments.
  • The assistant Administrator / Secretary will work closely with the MD/Chairman to ensure the efficient Administration and day-to-day operations of his office and support the completion of assignments.
  • Co-ordinate and arrange conferences, meetings and other schedules for the senior management team.
  • To provide administrative support to all employees and support the senior management team
  • Filing and retrieving corporate records, documents, and reports.
  • Accurately recording minutes from meetings.
  • Opening, sorting and distributing incoming faxes, emails and other correspondence.
  • Be responsible for the purchase and procurement of office supplies such as stationary and cleaning supplies.
  • She will serve as a liaison and resource person in support of Senior Management Team SMT and Advisory Board.
  • Reading and analyzing incoming memos, submissions, and distributing them as required.
  • Preparing reports, memos, invoice letters, and other documents
  • Participate fully in the company’s ISO meetings by taking part in meetings, audits and compilation of reports.
  • Represent the company at external meetings and attend other gatherings on behalf of SMT.
  • Work together with the SMT to improve company operations, minimize costs and actively present innovative solutions to the team.
  • Plan and Co-ordinate with the SMT events, sponsorship and other voluntary activities.
  • Co-ordinate with the HRM to facilitate internal memos and organize HR related activities.
  • Perform other duties assigned by Management from time to time.

Qualifications, Skills and Experience:

  • Minimum Requirements for Assistant Administrator/ Secretary
  • Must have a Degree in, Secretarial studies, Development Studies or Business Administration or any other-related course from a recognized Institution.
  • Must be computer literate with high understanding and knowledge of Microsoft office package.
  • Must have at least 2-3 years of working experience in the position of a Secretary or Personal assistant.
  • Must be willing to work in a team and have the ability to supervise personnel
  • active, motivated, well spoken, presentable and highly independent
  • Must be willing to work in a team and have the ability to supervise personnel
  • Should preferably be below 35 Years.
  • Must be should have certificates in acquired skills of Secretarial activities and/or computer skills.
  • Experience in the pharmaceutical industry is desirable
