Administrative Assistant to the CEO

Mara Moja Productions is a fast-growing media production and corporate consulting agency that specializes in creating high-quality video content, design and advertising campaigns and brand strategy for clients across various industries. We are currently seeking an experienced and proactive Assistant to support our CEO and contribute to the smooth running of our company.

Responsibilities:

  • Manage the CEO’s calendar, scheduling appointments, meetings, and events.
  • Organize meeting schedules, travel arrangements, including flights, hotel bookings, and transportation.
  • Act as a point of contact for internal and external stakeholders, including clients, partners, and vendors.
  • Co-ordinate and manage internal and external communication on behalf of the CEO.
  • Assist with the preparation of reports, presentations, and other documents.
  • Conduct research and compile data for various projects as assigned by the CEO.
  • Manage and maintain confidential files and documents.
  • Assist with special projects and ad hoc tasks as needed.

Requirements:

  • Minimum 2 Years experience in business administration, communications, or related field.
  • Proven experience as an Admin Assistant supporting a senior-level executive.
  • Excellent organizational and time-management skills with the ability to multitask and prioritize tasks effectively.
  • Strong verbal and written communication skills.
  • Exceptional interpersonal skills with the ability to build strong relationships.
  • Proactive and solution-oriented mindset with the ability to anticipate needs and act accordingly.
  • Strong attention to detail and ability to maintain confidentiality.
  • Proficiency in the Apple and Microsoft Office Suites
  • Proficiency in use of Social Media and latest trends
  • Flexibility to work beyond regular business hours and on weekends when required.
  • Knowledge of the media production industry is a plus.
