Salary: Kes. 30,000/-

Position Summary:

We are seeking a dynamic and highly organized Administrative Assistant to join our team. The successful candidate will act as the front-line receptionist, greeting clients and visitors, and will also provide vital support to the Accounts Department. This dual-role position requires a detail-oriented individual with excellent multitasking abilities and strong interpersonal skills.

Key Responsibilities:

Reception Duties:

  • Greet and welcome visitors with a professional and friendly demeanor.
  • Answer and direct phone calls to the appropriate staff members.
  • Manage the reception area to ensure it is tidy and presentable, with all necessary materials (e.g., pens, forms, and brochures).
  • Schedule and coordinate appointments and meetings.
  • Receive, sort, and distribute daily mail and deliveries.

Administrative Support:

  • Develop and maintain a filing system.
  • Update and maintain office policies and procedures.
  • Order office supplies and research new deals and suppliers.

Accounts Support:

  • Assist with accounts payable tasks, including processing invoices and expense reports.
  • Enter financial transactions into the company’s accounting system accurately and timely.
  • Reconcile accounts payable transactions and monitor accounts to ensure payments are up to date.
  • Assist with month-end closing procedures.
  • Provide support in preparing documentation for audits.

Qualifications:

  • Education and Skills:
  • Bachelors degree in any Business related course.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Knowledge of office management systems and procedures.
  • Basic understanding of bookkeeping and accounting principles.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • Customer service attitude.
  • Experience: Proven experience as a Receptionist, Front Office Representative, or similar role; experience in the accounts department is highly desirable.
