Position Summary:
We are seeking a dynamic and highly organized Administrative Assistant to join our team. The successful candidate will act as the front-line receptionist, greeting clients and visitors, and will also provide vital support to the Accounts Department. This dual-role position requires a detail-oriented individual with excellent multitasking abilities and strong interpersonal skills.
Key Responsibilities:
Reception Duties:
- Greet and welcome visitors with a professional and friendly demeanor.
- Answer and direct phone calls to the appropriate staff members.
- Manage the reception area to ensure it is tidy and presentable, with all necessary materials (e.g., pens, forms, and brochures).
- Schedule and coordinate appointments and meetings.
- Receive, sort, and distribute daily mail and deliveries.
Administrative Support:
- Develop and maintain a filing system.
- Update and maintain office policies and procedures.
- Order office supplies and research new deals and suppliers.
Accounts Support:
- Assist with accounts payable tasks, including processing invoices and expense reports.
- Enter financial transactions into the company’s accounting system accurately and timely.
- Reconcile accounts payable transactions and monitor accounts to ensure payments are up to date.
- Assist with month-end closing procedures.
- Provide support in preparing documentation for audits.
Qualifications:
- Education and Skills:
- Bachelors degree in any Business related course.
- Proficiency in MS Office (MS Excel and MS Word, in particular).
- Knowledge of office management systems and procedures.
- Basic understanding of bookkeeping and accounting principles.
- Excellent time management skills and ability to multitask and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills in a fast-paced environment.
- Customer service attitude.
- Experience: Proven experience as a Receptionist, Front Office Representative, or similar role; experience in the accounts department is highly desirable.
