Watoto Christian International School is seeking to recruit an Administrative Assistant to provide support to manage efficiently and smooth operations of the school and ensure the school runs efficiently and act as point of reference for the school community, under the office of Administration as direct by the Principal within Watoto Christian International School.
Key Duties and Responsibilities (but not limited to).
Support in the distribution of PACEs, essential materials to the teachers, parents and learners in a timely manner.
- Maintain stock level and accurate records of all PACEs and other educational materials.
- Support in the coordination of the admissions and enrollment process.
- Support the implementation of school policies, procedures and process accordingly.
- Organize school appointments, meetings with parents, guardians, community leaders and team leaders appropriately.
- Assist in the management of the department budget, monitor expenditures and financial records reconciliation.
- Support in the development of the annual procurement plan based on the approved budget.
- Ensure department requistions are within the approved budget and manage timely accountability of funds.
- Liaise with finance and procurement teams to ensure standardised purchase of supplies, office equipment and timely payments of service providers.
- Support in the daily operations of the school, manage maintenance needs and assets register.
- oragnise and manage the administrative preparation of internal and external department meetings, activities, appointments, required for the smooth running of operations.
- Coordinate and prepare periodic department reports in line with the organization’s reporting guidelines and meetings calendar.
- Maintain good relations with parents, guardians, learners, local authorities and visitors.
- Support in the preparation of school trainings, appointments schedules, communication to the team members, meetings spaces, materials, and logistical preparations involved.
- Monitor that stores are clean and organised, and ensure stored items are well catalogued and labelled.
Qualifications, Skills, and Experience.
- . The applicant for the role should hold at least a minimum in bachelor’s degree in business administration, Finance, or a related field.
- At least 3 year’s working experience in a similar organization.
- Proven experience in financial management and administration.
- Proficiency in financial and operational software and tools.
- Have proven excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
