Administrative Assistant

We are excited to be searching for a proactive and pragmatic Admin Officer with an interest to join our team in Kenya, and we hope it’s you!

Your role.

As Admin Officer, you will be supporting operational excellence in IDH through the execution of administrative tasks on procurement, logistics and travel, office management, finance support for the efficient execution projects coordinated from the IDH-Kenya country office.

Key Responsibilities:

• Office management including offices services, supplies

• Administrative work on ROSA (Salesforce) including setting up accounts, monitoring reporting and documentation, and updating processes.

• Support the finance department with administrative tasks, data input and audits.

• Facilitating program events in the country including invitations, bookings, logistics, and payments to service providers.

• Travel support including transport arrangements with service providers, hotel reservations, and coordinating payment of service providers.

• Coordinate IT support to the country team in liaison with HQ and in-country service providers including onboarding and equipping the country team with tools for work and overseeing maintenance of the office assets.

• Identify opportunities for operational improvement and lead projects to enhance safety, communication, project management, and organizational development.

As an Admin Officer, you are highly organised and skilled at managing and prioritising a high volume of requests, ensuring that country programs receive timely and effective support. Your service-oriented mindset and solution-driven approach make you an invaluable liaison between program teams and administrative support, addressing repeated queries with patience and professionalism.

You excel in navigating ambiguity, providing clarity through direct and transparent communication even when operations are undergoing change or when decisions may not align with everyone’s expectations. Your ability to remain calm and composed under uncertainty ensures smooth collaboration and implementation of initiatives.

Comfortable working with minimal supervision, you thrive in a high-paced environment with complex operations, maintaining a strong focus on operational excellence. Your ability to design, structure, and organise processes supports teams in achieving optimal results, while your proactive mindset ensures that general knowledge and resources are easily

accessible to IDH staff.

What you bring:

• Working and thinking at degree level in business administration or equivalent.

• 2 to 3 years of relevant working experience in project management, strategy, analysis, administration or in a similar capacity.

• Strong communication skills including excellent spoken and written English. Other East African languages are a plus.

• Relevant non-profit organisation work experience.

• Ability to work in a multi-cultural environment.

• Conversant with MS Office.
