ADMINISTRATIVE ASSISTANT

We wish to fill the vacant position of an Administrative Assistant with strong administration and office management background on Fixed Term Contract Basis to be based in Ruaraka Industrial Area, Nairobi, for an internal Client- Towertech Africa Limited.

Towertech Africa Limited is a leading and recognized East African manufacturer and supplier of a wide range of towers that include heavy to light duty self-support lattice towers, single tube/monopoles towers, guy wired steel lattice towers and beautification steel towers for power transmission, wind energy, communication and street lighting.

Position Summary

Reporting to the Chief Commercial Officer, the Administrative Assistant will be responsible for providing administrative support to ensure efficient operation within the organization.

This role involves a variety of tasks including managing correspondence, scheduling appointments, organizing meetings, maintaining records and stakeholders.

The Administrative Assistant will work closely with line managers, and employees to ensure that administrative duties are completed accurately and delivered with high quality and in a timely manner.

Key Duties/ Responsibilities.

  • Provide excellent customer service to internal and external clients. Address inquiries and resolve issues in a professional and timely manner.
  • Organize and maintain office systems; filing systems & office supplies. Oversee housekeeping schedules. Manage the use of copiers, printers, and other office equipment.
  • Schedule and manage; coordinating appointments, meetings, and events, and ensuring the calendar is up-to-date.
  • Handle correspondence and documentation; incoming and outgoing mail, emails, coordinate deliveries and dispatches and other communications. Update, retrieve and keep safe work documents.
  • Maintain and update databases. Ensure the accuracy and completeness of records, documents, and reports. Assist in the preparation of regularly scheduled reports while ensuring confidential at all times.
  • Managing G Suite and domain renewals.
  • Manage and track the renewal of licenses and certifications as appropriate.
  • Oversee daily attendance reporting, coordinate with line managers and HR department on casual staff management, overtime tracking, and employee database maintenance as well as coordinate staff leave applications.
  • Liaise closely with the Safety Health and Environment Officer of matters Safety Health and Environment matters.
  • Assist with special projects and initiatives as needed as well as collaborate with other departments to support overall organizational goals.
  • Manage and process utility bills; coordinate with service providers and ensure timely receipt of bills and payments of the same.
  • Manage subcontractor compliance, site keys, and project documentation.
  • Maintain and organize project files, office documents, and IPCs.
  • Handle fleet management tasks including vehicle transfers, inspections, and permits.
  • Manage stakeholders; address queries and manage communications with government offices and City County authorities.

Academic and professional Qualifications and experience required

A diploma in in Business administration, office management, or a related field.

Bachelors Degree in Business administration, office management, or a related field would be an added advantage.

A minimum of 3 years of hands on experience in a similar role and in a busy office.

Proficiency in MS Office (MS Excel, Word, and PowerPoint, in particular).

Stay current with office technologies, software, and best practices to improve efficiency and productivity.
