
Job Summary
1255 Palm Ridge, a project by Vipingo Development Ltd (a subsidiary of Centum Real Estate), is looking for a proactive and hands-on Estate Manager to oversee the day-to-day operations, maintenance, and occupancy of the estate in Kilifi ounty, Vipingo. The ideal candidate will keep the property clean, secure, and in good condition and achieve maximum occupancy through marketing and tenant relations. This role is suited for a detail-oriented, results-oriented individual with experience in estate management, facilities maintenance, and real estate marketing.
Key Responsibilities
A. Estate Maintenance and Operations
1. Perform daily checks to maintain the estate as clean, well-kept, and aesthetically pleasing.
2. Oversee landscaping, cleaning, plumbing, and electrical work for the whole estate.
3. Ensure security protocols are strictly enforced (such as CCTV, gate access, and guard patrols).
4. Prepare and oversee estate budgets, ensuring that spending is in line with approved allocations.
5. Maintain a petty cash account and reconcile reports on a regular basis.
6. Coordinate major repairs and renovations with external contractors.
7. Check estate water, drainage, and sewage systems are functioning properly.
B. Occupancy and Tenant Management
1. Actively market the estate for short-term and long-term tenants.
2. Manage tenant screening, onboarding, and lease facilitation agreement.
3. Provide high levels of tenant satisfaction via the resolution of issues, complaints, and maintenance requests.
4. Conduct house inspections upon the departure of tenants to ensure compliance with the lease agreement.
5. Organize tenant engagement programs for the fostering of a robust sense of community.
6. Enforce estate rules and log breaches and resolutions of conflict.
C. Security and Emergency Response
1. Implement and maintain 24/7 estate security.
2. Be on call for fire emergencies, water leaks, security intrusions, and structural emergencies
3. Train estate staff and residents in emergency procedures and safety protocols
D. Reporting and Communication
1. Prepare weekly and monthly reports outlining the performance of the estate on the maintenance, occupancy, security, and finance aspects
2. Maintain open communication lines with homeowners, owners, and stakeholders to update them on estate operations.
3. Give advice and suggestions for maximizing estate services and tenant retention.
Key Qualifications and Skills
- Demonstrated experience in estate management, property maintenance, or facilities operation.
- Strong capability to handle operations, budgeting, and organizing maintenance activity.
- Strong sales and marketing skills to achieve high occupancy rates.
- Understanding of tenant management, lease contracts, and legalities.
- Ability to train, manage, and assess estate staff (cleaners, guards, landscapers, etc.).
- Strong communication, organizational, and leadership skills.
- Knowledge of property management software and reporting tools is a plus.
- 2-5 years of relevant work experience.
- Graduated with a bachelor’s degree no later than 2020.
Academic and Professional Qualifications
- A degree in Engineering, Real Estate, Marketing, or Project Management (Second Class Upper Honours).
- KCSE: Minimum B+ mean score, with at least a B in English and B+ in Mathematics.
- Professional qualifications in CPA, ACCA, Estate Management, Valuation, or Facilities Management.
Performance Scorecard
The Estate Manager will be evaluated on the following key deliverables:
- Occupancy Management: Maintain a minimum 90% occupancy rate for both long-term and short-term rentals through effective marketing and tenant engagement.
- Estate Maintenance: Ensure that at least 95% of maintenance requests are resolved within 48 hours, keeping the estate in top condition.
- Security Oversight: Maintain a high level of security by limiting incidents to no more than one per month.
- Financial Accountability: Adhere to 100% budget compliance and maintain accurate petty cash reconciliations.
- Tenant Satisfaction: Achieve a 90%+ tenant retention rate, ensuring quick and effective resolution of complaints.
- Marketing & Lead Generation: Consistently generate a minimum of 10 qualified tenant leads per month to drive occupancy.
- Reporting & Compliance: Ensure 100% timely submission of estate reports and full adherence to legal and regulatory requirements.
Compensation
This position offers a retainer plus commission compensation model:
- Retainer: A fixed monthly payment for estate management activities.
- Commission: Earned on each successful tenancy, whether short-term or long-term.
