MAIN JOB PURPOSE:
As the Finance and Admin Associate, your role will be to provide finance and administration support to Chancen Kenya, working closely with the Kenya Country Director and the Finance Director in Rwanda. The key role will be the day-to-day financial management, processing invoices and payroll, maintaining a digital record of financial documents as well as undertaking general admin tasks under the guidance of the country director
ROLES AND RESPONSIBILITIES:
- Assist in maintaining proper internal controls in line with Chancen International Finance policies
- Perform bookkeeping work of processing payments, updating financial records, and managing invoices
- Monitor and control expenses according to the Kenya budget, reviewing expense reports from staff for accuracy, completeness, and compliance with set policies
- Review and verify invoices from vendors against supporting documents prior to payment
- Record invoices in the finance systems (Xero):
(i) Ascertain that all taxable business expenses are properly documented
(ii) The tax paid in the KRA system is aligned with the Xero Payrun calculations
(iii) Upload Monthly payroll in Xero
(iv) Prepare and pay Monthly Taxes
- Perform monthly reconciliation of accounts payable against statements
- Maintain a proper filing system for all accounting documents
- Maintain the assets register for the company
- Preparation of audit schedules and coordinating the audit process for Chancen Kenya for Finance Director/ CFO review
- Participate in CHANCEN Kenya team meetings and contribute to its strategy and activities
- Maintain external relationships with service providers to ensure the efficiency of the office systems, supplies, premises and equipment
- Ensure compliance with all regulators both local and international
- Ensure tracking of all regulatory licenses and proper timely renewal for those due
- Filing of all statutory reports with respective government agencies, including annual company reports done by the company secretary
- Support the Country Project Manager on management and tracking of country compliance register
- Perform payroll management with guidance from
- Country Project Manager
- Perform all administrative work and any other duties that may be assigned by management.
- Management of petty cash
- Recording monthly payments received from Chancen Members in Salesforce and Xero;
- Working closely with the member affairs team and providing the payments report from Salesforce;
ELIGIBILITY
- Bachelor’s degree in Accounting, Finance or related fieldCertified Public Accountant with a minimum of Section 3 or ACCA equivalent
- Minimum 2 years’ work experience
- Proficient in Microsoft Excel
- Experience working with an accounting software, preferably Xero
- Analytical, process oriented, attention to detail, reliability and high standards of performance
- Ability to communicate accurately, clearly, and effectively in written and spoken English
- Positive and can-do attitude
- Strong accounting knowledge and operating capacity
- Right to live and work in Kenya
