Role Description
This is a full-time on-site role for an Executive Assistant at Vision Plus Kenya. The Executive Assistant will be responsible for providing comprehensive administrative support to the Managing Director, including managing their schedules, coordinating meetings, and handling correspondence. The role also involves preparing expense reports and providing general executive support as needed, with additional HR functions
Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to the Managing Director.
ROLES
• Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
• Maintaining comprehensive and accurate records
• Performing minor accounting duties
• Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
• Answering phone calls in a polite and professional manner
• Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
• Managing the executive’s calendar, including making appointments and prioritising the most sensitive matters
- Acting as the point of contact among executives, employees, clients and other external partners
- Rack daily expenses and prepare weekly, monthly or quarterly reports
- Oversee the performance of other clerical staffAct as an office manager by keeping up with office supply inventory
- Format information for internal and external communication – memos, emails, presentations, reports
- Look after some key HR functions

Qualifications
- Strong experience in Executive Administrative Assistance and Administrative Assistance
- Ability to create and manage expense reports
- Excellent executive support skills
- Effective written and verbal communication skills
- Highly organized with excellent time management skills
- Proficiency in Microsoft Office Suite
- Attention to detail and ability to multitask
- Flexibility and adaptability
- HR capabilities and qualifications is a plus
- Bachelor’s degree in a related field is a plus
- Experience in the electronics industry is a plus
