This role will require adaptability, strong multitasking skills, and the ability to work independently with minimal supervision, manage diverse tasks and will be required to maintain a high level of discretion and professionalism in the execution of their duties.
Responsibilities
1. Managing of court documents
- Perusal of court documents before filing and service to ensure that they comply with applicable practise directions.
- Review of court document annextures, if any, to ensure that they are the right annextures and are in order, documents are dated, signed, paginated, and commissioned.
2. E-filing portal (CTS)
- Initiating matters in the E-filing system.
- Filing subsequent pleadings, documents and correspondence.
- Manage the CTS properly to ensure documents are filed in the right files, under the correct party and paid for.
- Communicating system downtime and any system challenges to the team in advance.
- Ensure all updates including court dates are captured and communicated to the relevant team members.
- Staying up to date with court directions and sharing with the relevant team members on a timely manner.
3. Compliance and Record Keeping
- Ensure compliance with legal procedures and organizational policies.
- Maintain confidentiality and handle sensitive information with discretion.
- Ensure that all e-service documents are printed and filed in physical files and brought to the attention of the relevant party.
- Highlight all communication from court to the concerned associate/partner.
- Ensure all hard copies of documents are timely and properly filed in the relevant file systematically.
- Pull out of files when required.
- Opening of new files.
- Prepare and manage case files, evidence, and other legal documentation.
4. Diary management
- Ensure all court dates are captured both in physical and e-diary and are notified to the relevant members of the team in a timely manner.
- Fix dates that are convenient to associates/partners to avoid conflicting engagements while ensuring due process is followed when fixing dates to avoid matters not being listed.
- Sending invites, bring-ups/deadlines for certain tasks to ensure that the team meets the set deadlines e.g. filing submissions and responses.
- Bring up deadlines in terms of statutory deadlines or based on court directions.
5. Drafting
- Support the team tin drafting simple letters, mention notices, hearing notices, judgement, invitation letters, taxation notices and affidavits of service and ensure timeous filing and service of the same.
- Preparing and managing case files, evidence, and other legal documentation.
6. Service of court documents
- Ensuring all filed court pleadings are served upon relevant parties within stipulated time frame as per the directions either physically or electronically.
- Reviewing affidavit of service to ensure that they are properly drawn with authentic details.
7. Archiving closed files
- Maintaining and organizing legal records, ensuring they are up-to-date and easily accessible.
- Ensuring all closed matters are archived based on the laid down procedures of the firm.
8. Court Assistance
- Send out cause lists in time and follow up on non-listed matters.
- Pull out files before due date or when needed.
- Prepare advocates for court.
Other duties
- Being accountable and handling with care any funds that may come in your possession by virtue of being the firm’s employees.
- Handle communication with clients, witnesses, and other parties involved in legal matters.
- Perform routine office tasks such as answering phones, handling mail, and maintaining office supplies.
- Receive physical service of all court documents served upon the firm, scan, bind, photocopy etc.
- Support to tax department as required.
- Assist in preparing files for taxation and bill of costs.
Experience and personal qualities
This role will require a detail-oriented, organized, and efficient person to support the lawyers.
The following experience is preferred:
- Must have a Diploma in law from a recognised institution.
- A minimum of at least five (5) years of relevant work experience of progressive working.
- Must be a licensed process server.
- Ability to multitask and work in a fast-paced environment.
- Must be analytical, detail and result oriented individual.
- Must have excellent computer skills and proficient in excel and word programmes.
- Must have the ability to work within pre-agreed timelines and minimal supervision.
- Excellent verbal and written communication skills.
- Good understanding of the legal profession.
- Highly organised and good time management skills.
