Membership & Programs Officer

We are looking for a self-driven individual, with an appetite to learn, create and implement new ideas. The Membership & Programs Officer will play a critical support role across the Membership and Programs departments. The Officer provides day-to-day administrative, logistical, and engagement support to ensure effective delivery of FITSPA’s member services and programmatic activities. This role offers a unique opportunity to work within a dynamic Fintech ecosystem, regulators, development partners, and innovators shaping Uganda’s digital financial landscape.

Reports to: Membership & Programs Lead
Location: Financial Technology Service Providers Association (FITSPA)
Status: Full-Time
Experience Required: 2–3 years (preferably in project coordination, relations management, logistics, marketing, or tech environments).

MEMBERSHIP SUPPORT FUNCTIONS 

Key Responsibilities 

1. Member Engagement & Services

  • Support the onboarding of new members by collecting and updating member profiles, documents, and welcome materials.
  • Maintain and manage FITSPA’s membership database and ensure accurate records of renewals, benefits, and participation.
  • Respond to member inquiries, coordinate follow-ups, and ensure timely resolution or escalation.
  • Prepare and share routine communications to members regarding events, updates, opportunities, and benefits.

2. Membership Visibility & Retention

  • Assist in designing and implementing member visibility activities (e.g., “Member Moments”, newsletter features, WhatsApp updates).
  • Track benefit utilization across membership tiers (training, compliance support, speaking opportunities, etc.).
  • Monitor and report on member retention metrics and compile suggestions to enhance the member value proposition.

3. Marketing & Outreach Materials

  • Assist in the preparation of member-facing materials such as welcome kits, flyers, renewal letters, and FAQs.
  • Liaise with the Communications team to ensure timely publishing of member updates and visibility content on the website and social channels.
  • Coordinate and maintain inventories of marketing and promotional material for member events.

4. Administrative Support

  • Provide logistical and scheduling support to the Membership Lead for visits, calls, and engagement plans.
  • Support the implementation of surveys and evaluations to gather member feedback and satisfaction data.
  • Maintain a calendar of membership-related activities and ensure timely preparation of documentation and reports.

PROGRAMS SUPPORT FUNCTIONS 

Key Responsibilities 

1. Program Operations & Compliance Support

  • Assist in tracking program activities and deliverables against donor or grant reporting requirements.
  • Maintain organized records of contracts, concept notes, and budgets in accordance with FITSPA documentation protocols.
  • Support the Programs Lead with internal reporting templates and monthly progress summaries for funders and partners.
  • Participate in administrative processes related to proposal submission, budgeting, and contracting.

2. Grants & Proposal Support

  • Support research for upcoming calls for proposals (RFPs/RFAs) and help organize submission timelines and materials.
  • Compile basic content (e.g., bios, past performance summaries, organizational documents) to support grant and bid submissions.
  • Assist in tracking submission deadlines, grant deliverables, and partner reporting obligations.
  • Document and file supporting materials used in the development of concept notes, reports, and funding applications.

3. Program Planning & Logistics

  • Coordinate logistical aspects of FITSPA programs, including scheduling, venue booking, speaker coordination, and participant registration.
  • Support the implementation of activities such as trainings, sector forums, roundtables, and FinTech community initiatives.
  • Collect and compile attendance records, evaluation feedback, and post-activity documentation.

4. Research, Learning & Innovation Tracking

  • Provide administrative and logistical support to consultants engaged by FITSPA, including scheduling Key Informant Interviews and meetings, sharing relevant background materials, coordinating deliverables.
  • Monitor sector news, Fintech publications, and partner programs to support program learning and reporting.
  • Maintain a repository of case studies, success stories, and highlights from program implementation.
  • Support the preparation of simple learning briefs and dashboards in collaboration with the Programs Lead and MEL consultants.

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Project Management, Communications, Marketing, Finance, or a related field. A post-graduate certificate/diploma in project management is an added advantage.
  • 2–3 years of professional experience in relations management, program delivery, community engagement, project support, or stakeholder management.
  • Experience working in or with tech-focused environments, innovation hubs, associations, or the Fintech ecosystem is an added advantage.
  • Strong interpersonal and relationship-building skills, with a professional and engaging communication style.
  • Excellent written and verbal communication skills, including the ability to draft clear reports, event briefs, and member updates.
  • Comfortable coordinating multiple tasks and deadlines in a fast-paced, dynamic environment.
  • Demonstrated ability to support fundraising efforts, sponsorship engagement, or partnership coordination is a plus.
  • Tech-savvy, with an interest in using new technology and AI tools. Should have solid knowledge of MS Office Suite (especially Excel, Outlook, Word, and PowerPoint). Familiarity with Canva, CRM tools, Google Workspace, or WordPress is a bonus.
  • Highly organized, detail-oriented, and capable of maintaining accurate data records and documentation.
  • Proactive team player with a positive attitude, professional integrity, and a willingness to learn.
