Job Summary:

We are seeking a highly organized and proactive Administrative Assistant Intern to support the daily operations of both our Company. This role requires a detail-oriented individual who can manage administrative tasks, coordinate between teams, and ensure smooth business operations across both companies. The ideal candidate should be versatile, eager to learn, and capable of working in a fast-paced environment.

Key Responsibilities:

1. Office Administration & Coordination

  • Provide general administrative support, including managing emails, handling correspondence, and organizing documents.
  • Assist in scheduling meetings, appointments, and interviews for both companies.
  • Maintain office supplies and ensure a well-organized workspace.
  • Liaise between the teams to facilitate smooth communication and task coordination.

2. Client & Customer Support

  • Handle incoming inquiries via phone, email, and social media, ensuring prompt and professional responses.
  • Assist in preparing client proposals, contracts, and service agreements.
  • Maintain and update client databases and records.
  • Follow up on customer feedback and ensure proper documentation of client interactions.

3. Finance & Data Entry Support

  • Assist in invoicing, processing payments, and maintaining financial records.
  • Track expenses and prepare basic financial reports for management review.
  • Maintain employee and contractor records, including timesheets and payroll support documentation.

4. Operations & Logistics Support

  • Assist in scheduling jobs/projects and tracking staff deployment.
  • Help in maintaining inventory records for supplies and equipment.
  • Follow up with clients to confirm service satisfaction and document any concerns.

Skills & Qualifications:

  • Diploma or Bachelor’s degree in Business Administration, Office Management, Marketing, or a related field (recent graduates or students in their final year are encouraged to apply).
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive).
  • Ability to work independently and handle multiple responsibilities across two business entities.
  • Experience in customer service or administrative roles is an added advantage.
  • Basic understanding of social media management and marketing tools is a plus.
