Kampala Hospital is looking for a dedicated and detail-oriented Records Assistant to join our team. The ideal candidate will be responsible for organizing, maintaining, and securing patient medical records in accordance with hospital policies and procedures.
Key Responsibilities
- Maintain accurate and up-to-date records in compliance with the organization’s procedures.
- Promptly collect files and copies of insurance claim forms from the billing office upon patient discharge.
- Organize and systematically file all inpatient records in chronological order within the designated record cabinets.
- Ensure timely and accurate entry of patient records into the department database as required.
- Actively support the digitization process of patient files.
- Oversee records management, ensuring proper control, retrieval, and accessibility in accordance with the organization’s file retrieval procedures.
- Monitor and track file retrievals, ensuring that all retrieved documents are returned and properly refiled.
- Facilitate the issuance of both old and new records to internal and external clients while adhering to established access protocols.
- Ensure proper records storage, including archiving, in compliance with statutory regulations.
- Perform any other duties and responsibilities as assigned by the line manager.
Qualifications & Experience
- Diploma in Medical Records Management or an equivalent qualification.
- At least two (2) years of experience in medical records management within a healthcare setting.
- Strong organizational and analytical skills with attention to detail.
- Ability to maintain confidentiality and work with sensitive information.
- Proficiency in medical records systems and data management software.
