Project Administrator

About the Role

FREO2 is seeking a proactive and detail-oriented Project Administrator to support the successful delivery of our Oxygen as a Service (O2aaS) program in Uganda. You will play a critical role in coordinating logistics, maintaining project documentation, and ensuring smooth communication with key stakeholders, including UNICEF and the Ugandan Ministry of Health. This position is vital to the efficient deployment of FREO2’s Oxylink Systems across 35 healthcare facilities, contributing to improved oxygen access and better health outcomes.

Key Responsibilities

As the Project Administrator, your key focus areas will be:

Administrative Coordination:

  • Engage with healthcare facility administrators and foster strong relationships.
  • Schedule assessments, installations, and training sessions.
  • Maintain an up-to-date stakeholder contact database.
  • Manage project files, including contracts, reports, and compliance records.
  • Document meetings and track action items to ensure follow-ups.
  • Monitor progress against project timelines and milestones.

Logistics and Operations:

  • Coordinate the deployment, installation and maintenance of FREO2 Oxylink Systems in remote locations.
  • Resolve logistical challenges to ensure timely implementation.
  • Oversee inventory management for project tools and equipment.
  • Support the organisation of healthcare worker training sessions.

Communication and Reporting:

  • Serve as the primary administrative point of contact for UNICEF and other stakeholders.
  • Prepare and share progress reports, updates, and presentations.
  • Assist in compiling data and drafting reports for the MEL specialist.
  • Work with the communications team to highlight project achievements through success stories and case studies

Budget and Resource Management:

  • Track project expenses and ensure compliance with budgets.
  • Support invoicing, payment processes, and procurement coordination.
  • Prepare financial summaries in collaboration with the Finance team.

What You Bring

  • Bachelor’s degree in project management, business administration, or a related field.
  • At least 3 years of experience in project coordination or administration, preferably in health or development sectors.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills for diverse stakeholder engagement.
  • Proficiency in Google Suite and project management software.
  • Experience managing logistics and operations in resource-limited settings.

Desirable

  • Familiarity with healthcare programs focused on maternal, newborn, and child health.
  • Knowledge of public-private partnerships and NGO-led initiatives.
  • Experience working on donor-funded programs, particularly UNICEF.
  • Proficiency in monitoring and reporting tools for project evaluation.

Employment Basis: Full-time, 6 month contract (Flexible, hybrid working arrangements)
